World Aquatics Championship – Singapore 2025

In Singapore, space is precious and running a sports facility comes with unique challenges. Many venues struggle with limited staff, unpredictable demand, and the need to operate around the clock. Here’s how AI-powered venue automation is changing the game for sports booking and facility management.

THE CHALLENGE

The World Aquatics Championships 2025 Singapore Private Limited (WACSPL) faces several challenges in developing its frontend and backend applications for the upcoming event. One major issue is the complexity of integrating various external systems, such as World Aquatics Championships CMS, GovTech’s GovEntry and GovWallet, which may hinder seamless data flow and synchronisation. Additionally, the project requires robust cybersecurity measures due to the financial nature of e-payments and the handling of personal data, raising concerns about protecting user information and transaction integrity.

Another significant challenge is the tight timeline for completion, with a deadline set for March 2025 for the launch of the Interactive Community Engagement Portal. This time pressure necessitates a balance between meeting deadlines and ensuring high-quality development. Furthermore, the need for an intuitive user interface across multiple devices is critical for user adoption, and collaboration with multiple vendors may introduce potential delays and miscommunications. Finally, compliance with local regulations regarding data protection and e-payments adds another layer of complexity to the project.

THE SOLUTION

To conduct a detailed study of various systems, we implemented a middleware solution that effectively integrates these systems in alignment with the business challenges. This middleware is designed to automate monitoring at every critical point of failure, ensuring that our support team is notified immediately in case of any issues. The middleware facilitates real-time data synchronisation during events, thereby enhancing the accuracy and efficiency of our operations.

In addition, our framework design allows us to repurpose it for automating workforce attendance recording and managing the distribution of approval allowances. Our workforce can conveniently utilise the web application “PayNow” for meal purchases at any participating store that supports the PayNow payment method, streamlining their payment experience.

THE IMPACT

The implementation of the middleware solution has a significant positive impact on the development of the World Aquatics Championships’ applications. It streamlines the integration of various external systems, ensuring seamless data flow and synchronisation, which is critical for efficient operations. The real-time data synchronisation enhances operational accuracy during events and allows for automated monitoring, providing immediate notifications of any issues that arise.

Additionally, the framework’s ability to adapt for automating workforce attendance and managing approval allowances improves overall efficiency and convenience for staff. The integration of the “PayNow” payment method simplifies the purchasing experience for employees, facilitating smoother transactions at participating stores. Overall, this implementation addresses key challenges, enhances user experience, and contributes to meeting critical project deadlines while maintaining high-quality standards.

With the collaboration with GovTech, These system helped more than 30,000 athletes, staff and others to simplify processes such as entry and material collection, reducing the manpower required by up to 60% and the initiative was featured in 8world.
